We’ve said before that the breadth of SharePoint is both its strength and weakness. Intranet and project teams now have a powerful new tool to help the organisation work better, but what features to deploy?

The classic technology-centric approach is to talk to stakeholders in each business area, asking questions such as:

• What additional capabilities do you want on the intranet?

• Which of the following features would be useful to you?

• If you had (feature), how could you make use of it?

• What can we do with the new version of SharePoint?

Intranet discussions have been dominated by the subject of social tools since 2009: Twitter and Facebook for the enterprise; increase rapid productivity with rapid connectivity; break down silos with social tools; capture implicit employee knowledge; build knowledge communities using social; etc. The list goes on.

However, I am not entirely convinced that social tools ala Twitter, Facebook and LinkedIn (status updates, following colleagues, commenting, and news feeds) can provide measurable business value. I’ve heard colloquial accounts and give merit to the arguments that they help capture organizational knowledge, that they contribute to the organizational story and that they connect employees across boundaries (both physical and hierarchical). Still, I’m on the fence.

Microsoft’s takeover of the corporate intranet has been rapid, and nearly overwhelming. Nearly two-thirds of all organizations (all except the very smallest) in the Western World use SharePoint, in some shape or form (according to multiple surveys).

I personally do not make it public knowledge when its my birthday. I get embarrassed by any fuss and am conscious of the fact that I am no spring chicken anymore. Though when I saw the following Tweet in my feed last night I thought it was a wonderful idea.@vj2w Feel special. My Intranet is customised to wish me HB. Nice touch.

Many organizations are finding that leveraging the full suite of capabilities SharePoint offers requires introduction of a new requirement – that of dealing with, managing and exploiting taxonomies. Of course taxonomies are not new, but there is some confusion about where managed metadata services and the term store end and true taxonomy management begins.

There are also some misconceptions about the process of deriving and applying taxonomies in SharePoint.

The following are five areas of confusion that we have seen in our engagements and research.

• Myth #1: SharePoint now has taxonomy management
• Myth #2: Taxonomy is used as metadata and metadata is an IT problem. Therefore taxonomy is best left to the project’s technical resources.
• Myth #3: Librarians are the best people to handle SharePoint taxonomies.
