Is SharePoint too big for its own good?

In SharePoint 2010, Microsoft has created much broader management capabilities and better integration services. SharePoint now carries many more enterprise features, like business intelligence reporting and managed metadata. The resulting package is an increasingly complex platform that may have become that very complicated tool it originally displaced -- namely the Documentums and Hummingbirds of this world (both acquired by larger competitors).

This begs the question: will SharePoint 2010 enjoy the same success as 2007, or will it collapse under its own weight?

Understanding the Cost of We Can't Find Anything

One problem I often hear when talking with any organization about new solutions is understanding the cost and inefficiency of their existing way solutions, processes, or general way of doing things. In the past year or two I have used various general measurements around search to help focus the need for improvement not only on search, but the needed information and metadata needed to improve search.

The Changing Face of Enterprise Content Management

Content management systems are increasingly becoming back end “black box” content stores. This trend towards commoditization puts a decreasing importance on the system and an increasing importance on the ways in which the system capabilities are surfaced. There are several trends that I have observed and continue to see manifest though customer interactions, blog chatter and market awareness.

I am seeing a resurgence in portal fronted web applications. The difference between these and the all-or-nothing portals that were popular 5-10 years ago is that these that leverage rich ECM capabilities on the back end to provide versioning, document libraries, digital asset management, conversion, transcoding, workflow and other “rich” ECM features.

SharePoint intranet dos and don’ts – Part 1

Today, we’ll walk through some additional guidance – not from the playground, but from the consulting field. First, lets start with the "do's" – how to launch an effective intranet.

If you buy it, they will come

Use what’s already out there. The SharePoint ecosystem is full of prebuilt solutions, most of which are free or low cost. For example, Microsoft's open source site, www.codeplex.com is loaded with prebuilt solutions such as security reporting or Silverlight rich media controls. Microsoft itself provides the so-called "Fabulous 40" templates that offer tools like IT Help Desk or HR Benefits self-service registration.

Three Common Mistakes in Pursuit of Enterprise 2.0 & the Next Generation Workplace Part 2

The pursuit of the Enterprise 2.0 utopia promised, described and promoted across the web has attracted the committed, the curious and the cautious. As we move further up the adoption curve the amount of success as well as failures increase. This is the second in a short, three part series about the common mistakes in Enterprise 2.0 strategies and how to avoid them.

The three common mistakes of E20 are:

  1. Technology treated as an ends rather than a means.
  2. IT as leading the business rather than supporting the business.
  3. Information architecture that is walled and gated when there is no good reason for it to be that way.

Rage against the (email) machine : Headshift

There is no doubt, we have a love-hate relationship with email. As much as we say we would like to ditch this modern millstone, there is plenty of evidence to show that email remains entrenched in the information workplace as a core communication tool.

Worldwide email traffic continues to grow at an enormous rate and is now measured in billions of messages per day. This trend is also reflected inside organisations, where according to Gartner Research it is typically growing at a rate of 30% each year.

However, these numbers only tell one side of the story. Access to corporate email might be common place, but opinion remains divided about its effectiveness. As the volume of email has increased, so have the complaints about information overload, the impact of poor communication and inefficient collaboration practices. In response to these issues, technologists have created more new tools that each promise to solve the email problem better than the last.

Tips for Web Product Management

I am currently providing web product management services for two clients. One client is a start-up launching a new web-based product. The other is a 100 year old newspaper. While at face value these two clients couldn’t appear to be more different, they are actually quite similar.

What follows is a list of principles and practices that I have found to be effective.

  • Establish a regular (2-3 week) release cycle
  • Define and communicate prioritization criteria.
  • Don’t forget the HotFix queue
  • Write good tickets
  • Use your source code control system
  • Automate deployments
  • Build a talented and committed team

SharePoint 2010 Pros & Cons - Intranet Blog

Toby Ward

SharePoint 2010 officially launches on May 12, 2010. However, there are many organizations already using the BETA version, and some of us had the opportunity to initially play with it last year.

There have been many improvements to 2010, not the least of which are those in social computing and enterprise content management (ECM). But does MOSS 2010 live up to the hype? Is it worth the investment or at least serious consideration?

What is Web Engagement Management (WEM)?

Some say WEM's the latest WCM marketing ploy. Some have never heard the phrase. We think Web Engagement Management (WEM) is an important change in the way people build and utilize web content management systems.

WEM is an Evolution, Not a Revolution

Web engagement management involves real technology evolution, but is also a strategy or a framework for how an organization brings together its resources to optimize their digital presence. It is a natural evolution for how business must be conducted in today's world.

What Enterprise 2.0 means for the CIO and IT department - Ross Dawson

One of the key issues is the implications of these approaches for the organization and its key functional areas. Not surprisingly, there are a particular set of pressing issues for the IT department. These are covered in the report - we have excerpted Chapter 19 on the implications for IT below.

WHAT ENTERPRISE 2.0 MEANS FOR IT

Enterprise 2.0 has significant implications for the IT function of organizations. It is of course generally the responsibility of the IT function to facilitate the adoption of technologies that create value for the enterprise. However Enterprise 2.0 technologies both have significant cultural aspects to their use and uptake, and can have a significant impact on the underlying business processes and even value creation inside the organization.

When SharePoint's own partners won't use it as Web CMS - Real Story Group

Microsoft's closest software partners whose core competency lies in knowing the innards of SharePoint have largely rejected the platform as an internet publishing service.

SharePoint's web content management capabilities have always been controversial, especially for public website environments. Although Redmond can point to more than a thousand customers using SharePoint's WCM services, many systems integrators and consultancies -- including those close to Microsoft -- tell us privately that they recommend competing alternatives for their clients' public websites in all but the most trivial scenarios.

Navigation versus search - The Web Usability Blog

Is good navigation important? A client recently asked me: “Navigation, isn’t that a bit old hat? I mean, this is the time of Google. Doesn’t everybody just search?”

No, they don’t. Good navigation and good links are vital for the success of a website. A search feature is an added bonus, sure. But if you have one, it has to be as good as Google or even better.

Less than 5% uses the search feature Google might be insanely popular but that doesn’t mean the search feature on your website is too.

SharePoint 2010: Using Taxonomy & Metadata to Improve Search & Discovery

A good content taxonomy goes hand in hand with good enterprise search, and SharePoint 2010 has made some improvements to their basic search experience with the help of taxonomy and metadata. Here's how.

Taxonomy Is Fundamental to Enterprise Search

Search is typically thought of as a black box, with functionality that is commonly misunderstood by most users. People often turn to search as a result of a breakdown in information architecture, and tend to have high expectations based on experience gained outside the organization through the use of technologies such as Google.

Evaluating SharePoint 2010 as an Enterprise 2.0 Platform

Enterprise 2.0 means different things to different people, and Microsoft has had to play catch up to the smaller and often more nimble vendors that play in the social software space. Nevertheless, MOSS2007 was probably the first foray into 'social' computing for many an enterprise, providing blog and wiki functionality, and RSS feeds. So how does SharePoint 2010 stack up?

For our quick and dirty evaluation of SharePoint 2010 from an Enterprise 2.0 perspective, where better to start than the ‘father’ of the term, Prof. Andrew McAfee, and his SLATES model.

Misunderstood Complexity - CMS or human processes?

The biggest failing we run into time and time again around content / digital publishing projects is the misunderstanding of where the complexity lies.

When someone buys an RDBMS, they don't assume that simply installing such a system and some trivial configuration will solve their data problems for them or produce their data-driven software application. They understand that this is just a tool which they will use to do the large amount of work of analyzing their data needs, designing a schema, and imp...

Do intranets only need search? » Step Two Designs, James Robertson

Every once in a while, intranet teams have to justify the amount of time they spend structuring their sites and improving navigation.

Stakeholders, often very senior ones, ask: ‘Why don’t we just provide search, like Google’. This would save the time spent developing a user-centred site structure, and after all, ‘it works for Google, and it’s the most popular site on the web’.

It’s an interesting idea, and on the surface, an attractive one. Search is something that can be bought as a product, and deployed. It’s even possible to get a Google-branded product for enterprise deployment.

Social Intranet: Open Atrium social network for internal use

I’m about to install and muck around with Open Atrium as an social network intranet product for a client. It’s based on social networking software Drupal, and is free to download.

Open Atrium is completely customizable. If you want a feature that’s not on that list, you can add it yourself. Read the documentation, specifically the How to Build a Feature section, to find out how to do it.
