Intranet strategy needs leaders not managers

Evolving intranets require real leadership. Sometimes I hear from intranet teams that have been asked to make a business case for their intranet, or, even worse, show a return on investment (ROI).

The team duly goes through the financial obstacle course to produce some numbers, get ritually mocked for saying time savings have monetary value, and at the end may get money for the platform but nothing else.

They are unlikely to succeed.

There’s been no shortage of people saying that social computing represents the next wave of the corporate intranet, the latter being a piece of technology that’s been perpetually disappointing. For a place that’s supposed to be the starting point of people’s day, it has never lived up to that expectation.

The first wave of intranets were static, imposing too much friction for end-users who wanted to post new information. People had to wait for their IT department to hack HTML code and update the page. Then came the second generation of intranets — the self-service variety — that brought more functional use, but ultimately the most time you spent there was during your first and last week working at the company. They also lacked a critical element: People. Who does what? And who can help me get my job done better?

Apps for Intranets

Since Apple launched its App Store, over 1bn applications have been downloaded. This year, it expanded the idea to cover its Mac computers and sold 1 million apps on its day of launch. Given such unequivocal success, are there things that we might learn for the intranet world?

The idea could be translated several ways. Perhaps intranet interfaces should look more like a collection of apps than a web site? Or could it be a way for employees to create a personalised experience? Both of these have merit, but what I feel has most potential in the near term is a third version: an app store for intranet site owners.

3 ways to bring coherence to the intranet ecosystem- @NetJMC

The global intranet manager should govern the intranet, not manage it. The word “governance” is often used to cover both, but we should in fact make a distinction:

  • Governance is a steering framework that defines strategic goals, decision-making (who and how), accountability, and procedures for reconciling differences.

  • Management, on the other hand, refers to how the governance decisions and principles are put into practice. For example: the definition of guidelines and rules, life-cycle steps, processes, editorial policies, standardization, and so on.

Intranet managers responsible for large intranet eco-systems should focus on governing, not managing. Their vocation should be to help bring meaning and relevance for people using these systems.

Intranet, Internet, Extranet merger imminent - Intranetizen

It all used to be so simple: your corporate intranet would be owned and managed by your internal communications team; your corporate internet site by your external communications, by your investor relations team or your marketing team; and your extranet managed by your sales and customer development departments.

Whilst each had a technology foundation, it was likely that there was no common CMS, little commonality of content or functionality. These three were technological islands, organisationally distinct and with clear strategic differences.
