Damals im Web 1.0, als Enterprise-Content-Management (ECM) noch in den Kinderschuhen steckte und die Inhalte noch von einigen wenigen Schlüsselpersonen, den „Webmastern“, erfasst und sorgsam hinter Firewalls und in Unternehmensdatenbanken verborgen wurden, war die Suche nach Informationen noch kein Thema für alle Mitarbeiter im Unternehmen. Die Suche fand zumeist hinter den kleinen Textfeldern der Datenbanken statt, die ihre Schätze nur denen preisgaben, die die richtigen Schlüsselwörter und hinterlegten Schlagwörter kannten oder durch Zufall getroffen hatten. Mitunter gerät der eine oder andere Zeitzeuge noch ins Schwärmen, wenn er über diese “Goldgräberzeiten der IT” berichtet; dennoch möchte heute niemand mehr so arbeiten.

Intranet, a Shared Responsibility- Bas Zurburg

Owning an intranet is not the same as being responsible for it!

Two examples that can happen with your intranet: The HR department keeps all the employee data up to date for their own records, but they defer the responsibility for the 'People Find' to the owner of the intranet.

The IT department has delivered the intranet, it works fine and the roll out was a success. But after that they keep rolling out there own portals and platforms to the business. They see building the intranet only as an item on their work program.

There are some tasks that belong to the owner of the intranet and of course there must be:

  • a main budget holder
  • a chair of the editorial board
  • a chair of the steering committee
  • a unit to co-ordinate daily tasks
  • a unit dealing with first line support
  • a unit to co-ordinate with the IT department

You have noticed that there is no mention of "content" or "processes" in this list. These are items that can't be the responsibility of one unit alone...

A common frustration for teams managing intranet projects is the difficulty they experience in securing resources. Successfully winning support could require grasping a number of concepts—from ROI to employee engagement—depending on the business environment. But in all organizations, the intranet team must understand the difference between a need, and a perceived need. The distinction is that a business case can quantify the former, but people act on the latter.

In the case of intranets, many organizations have a need to streamline business processes, drive operational efficiencies, enhance communications and collaboration and secure a higher degree of employee engagement. But the executives at these organizations frequently don’t perceive how an intranet, and especially intranet 2.0 technology, can address these business requirements.

Corporate Intranets should not be built as advertising spaces

Despite I'm convinced that Enterprise 2.0 is about people and not technology, it does not mean that technology is neutral. The way it's conceived and implemented can either be a catalyst or an inhibitor to new business behaviors people are exepected to adopt in their day-to-day work.

There's no need to go deep inside any large business' intranet to understand what I mean : the landing page is enough. A recent post by Gia Lyons about intranet and social platforms merger reminded me of many discussions I had with many organizations these last months (by the way it seems to be becoming a very trendy topic). Most of them are thinking of reiventing their intranet and the reasonning is always the same :

1°) We want something new

2°) We'll start with the landing page

3°) As every department / branch / part of the company wants its dedicated place on the landing page, the new landing page will look like the old one.

4°) Our reasonning seems to be right even if the conclusion seems to be wrong. What's the problem there ?
