5 Ways to Engage Employees with Your Intranet

The company intranet is kind of like the middle child in a family. W..._The company intranet is kind of like the middle child in a family. We care about it, but its siblings usually get more attention. In this scenario, the siblings are external websites and social media channels. Websites always seem to get the makeover and the budget allocations when push comes to shove. Since social media is the last born, it’s the pride and joy of the company and leaders are focusing on this fun and energizing medium.

What many companies and leaders do not understand is that the intranet connects employees with the company and is an important engagement tool. Engagement equals happy employees, less turnover, increased innovation and savings on the bottom line. These things matter.

The following sections represent the basics of the latest intranet trends and aim to get you thinking about ways to make your intranet more engaging.

Milestones on the intranet mobile roadmap - Intranetizen

In her excellent report on Digital Workspace trends, Jane McConnell pointed out that the corporate intranet is becoming increasingly ‘place independent’ — that is to say, employees are expecting to be able to access their intranet from wherever they so choose. For some, that meant investing in home access, but for others it’s about taking the intranet to the smartphone.

In this post, we shape the evolutionary steps along your mobile intranet roadmap.

Mobile intranets have come of age - James Robertson

Mobile devices become ubiquitous in the consumer space, with “there’s an app for that” reshaping how people get access to information on the move. Up to now, however, the situation within organisations has lagged far behind.

In many cases, staff can’t even access corporate information from home, let alone on mobile devices. Thankfully this is now changing, and innovative organizations are now mobilising their intranets and corporate systems. This has a real impact for staff on the go, transforming intranets into essential tools which makes their working day easier

Security management is the main issue for mobile intranet access - Morten Madsen

What do you see as the issues in providing mobile access?

The voice of the respondents in our survey on mobile enterprise access so far is very clear. Security management is by far the issue that concerns most of our respondents with almost two of three answering that option. This is no surprise, as security is the issue that we hear most people refer to.

Security management is followed by the issue of supporting the many different mobile platforms on the market, which almost four in 10 respondents have chosen...

The future has already begun. Is your Intranet ready? - @Peter_Richards

Over the past 6 months in my organisation I have noticed a huge increase in the number of employees being provided with iPhones and iPad's for work purposes.

Peter Richards blog

Our company now offers customers most of its services via mobile applications and has a growing presence on Twitter and Facebook. Around 25% of employees now use iPad's for business purposes.

I am sad to report though that our Intranet has not yet been optimised for delivery on any mobile devices and we are early on in discussions on how this will be achieved...

Social Business: 6 Must-Have Apps for the Enterprise App Store - @oscarberg

Many organizations, enterprise software vendors not the least, have treated employees and consumers as discrete categories of people, almost as if they were different species. The truth is, of course, that we are both employees and consumers depending on the context.

During recent years, we have seen how our changed attitudes and behaviors as individuals when it comes to information seeking, sharing, communication and socializing with people are also affecting our attitudes and behaviors at work. Although we often find ourselves being held back by legacy IT and existing power structures, as well as by old habits and the dominating communication culture, we expect to be treated in the same way and have access to the same IT superpowers at work as we have as consumers.

10 ways desk-less employees can access the intranet - Jonathan Phillips

One of the positive innovations in this year's Digital Workplace Survey is the inclusion of company demographic questions designed to allow some detailed research of how different organizations use digital communication and collaboration tools.

Like many companies, not all of my employees are desk-based knowledge workers. Many of them don't have company laptops or mobile phones, and as such have irregular access to the information and services on the intranet.

The Power of Location: 5 location ideas for your intranet - Intranetizen

One of the notable trends within intranets is the move to mobile: the ability to access intranet content and function in a webpage or app format.

For many businesses, it’s seen as the next obvious frontier and a great way to engage a larger enterprise audience. But to consider mobile intranet as just simply a way of broadening access is to miss a trick.

Embedded in nearly every smartphone these days are GPS chips and gyroscopes (and soon NFC) which provide new intranet opportunities: in short, your current intranet knows who you are, your skills and when you’re available, but through a mobile phone, it will shortly know where you are and, curiously, which way up you’re standing!

When will mobile priorities come first? « Mark Morrell

When will organisations start designing and creating applications, web pages and social media tools with mobile devices as the first priority before PC users? More and more people are using smartphones for their work.  While travelling or working remotely from their normal place of work they need to use their intranet. But we still design for PC users as the first priority.  This can mean it is more difficult than it need be when using a smartphone on your intranet wasting unnecessary time or having to...

Mobile Readiness: Begin With the End in Mind - Dan Keldsen (@dankeldsen)

So Where to Start?

As with many content management projects - you need to make some decisions on not just where you start, but where you end as well.

The Mess

Do you fix all of your content and content management systems to be fully mobile ready? From the traditional birthplace of content management (scanning/imaging) - this would be known as “back-file conversion,” although in this case, it’s not just the content itself (from imaging - turning paper to a bitmap), but the systems/applications used to create/manage the content and the interfaces that address your end points (browsers, mobile apps, portlets, RSS, etc..).

CIOs Worry About Mobile Security But Users Don't - CIOinsight

As more users bring personal mobile devices into the enterprise, CIOs are feeling the security strain. The device owners, however, aren't worried.

With more workers bringing their favorite smartphones to the office, CIOs are concerned about mobile data security and how employee devices are managed, according to a recent research study.

How intranet favorites become popular mobile apps By Christine Kent

Think big when creating mobile apps for employees—but don’t forget to think small at the same time.

When JM Family, a Deerfield Beach, Fla., auto distributor and financing company, set out a year ago to develop applications for its associates (as its employees are known) to use on their iPhones, key business apps were obviously on the list. However, the company also brought some smaller but useful and popular intranet features to its apps library—such as menus for its cafeterias, and current wait times for onsite medical clinics.

CIO - Mobile manoeuvres By Paul Smith

Like many other organisations, accounting firm KPMG made the mistake of road-testing new gadgets exclusively within its executive team. But a change of plan has improved its productivity.

While business transformation programs and successful on-line product innovation can lead some chief information officers and in-house technology strategists to glory and promotion, an unspoken career progression strategy for some has always been to follow a path of least resistance, and keep the boss off their back.

This can be achieved in two ways. The first is to keep their heads down, not spend much and hope nothing major goes wrong. It is unambitious but effective in some cases.

Mobile Content Is Twice as Difficult (Jakob Nielsen's Alertbox)

When reading from an iPhone-sized screen, comprehension scores for complex Web content were 48% of desktop monitor scores.

  • Slower downloads
  • No physical keyboard for data entry
  • No mouse for selection; no mouse buttons to issue commands and access contextual menus (indeed fewer signaling states, as discussed further in our seminar on Applying HCI Principles to Real World Problems: a touchscreen only signals "finger-down/up," whereas a mouse has hover state in addition to button press/release)
  • Small screen (often with tiny text)
  • Websites designed for desktop access instead of following the usability guidelines for mobile
  • Whacky app UIs that lack consistency

How to Build a Mobile Intranet Roadmap - Christopher Swan

Who's ready to redo their intranet again? Every couple of years, we communicators seem to take another stab at finding the right equation for the perfect intranet. I believe that 2011 will be a big another year for Internal Communication folks. This is the year we add real mobile access to our intranets. Employees are quietly demanding access to their tools when and how they want them. Us consumers are doing the same thing with outside sources, like Facebook, newspapers, maps, etc. So it makes sense that...
