Improving Findability on your Intranet: Lessons From Librarians

I believe your intranet can help staff find the information they are likely to need faster. It can be the popular, respected and well used digital library that your staff expect it to be. But according to CMSWire, in a recent survey of over 20,000 employees from 67 organizations, this is not often the case:

“Ease of finding information” is considered to be the most important quality of a valuable intranet and yet is considered to be the quality that is ranked as needing the most improvement.

What can we do to easily improve information retrieval on intranets? Your intranet, and the community of staff who use it, have unique needs....

Navigation is for losers! - J. Boye

The game is changing and there’s a major shift happening in the way we design websites. I’ve been in endless meetings with heated discussions over website or intranet navigation and information architecture. Should the navigation be aligned following departmental structures, product lines or copied from the competitors?

Once the navigation has been decided, the actual implementation often turns out to be complex and expensive. Subsequently, online analytics has unfortunately shown that the navigation is...

The Search Matrix: An Advanced Search Alternative

According to Andrew Wright, in a recent survey of over 20,000 employees from 67 organizations, “ease of finding information” was considered to be the most important quality of a valuable intranet and yet is considered to be the quality needing the most improvement. What can we do to easily simplify and improve information retrieval for our users?

Try this speaks-for-itself search matrix example as a portal into the world of intranets on the internet. You can look for information by format, subject or a combination of the two by clicking on the column, row or cross-section of the two respectively. You can even add another subject of your own to the result sets on all of the links...

Enterprise information management – some recent surveys and reports - Martin White

Over the last few months a number of very interesting reports and surveys have been published, and in this post I have provided some brief reviews of them.

‘Big Data’ is emerging as an important topic. The McKinsey Global Institute have published a superb report on the challenges and opportunities of Big Data. The title says it all. “Big Data: The Next Frontier for Innovation, Competition and Productivity“. The report is 156pp long. After chapters on Growth and Value Creation and then Big Data Techniques and Technologies there are detailed assessments of how Big Data could transform the health care and retail sectors in the USA, public sector administration in the EU and manufacturing and personal location on a global basis. One of the most interesting tables in the report is the scale of information storage by vertical industry sector in the USA, showing that companies with more than 1000 employees typically have over 100 terabytes of stored data, and in many cases substantially more.

And 4 more...

Why has search not improved in 2 years - @NetJMC

This week I have been working through some provisional numbers from this year’s Digital Workplace Trends survey. I can’t help but share something startling and discouraging with you.

So far, with this year’s early data, 40 percent of the organizations are either “not really satisfied” or “not at all satisfied” with their current search engine’s features and the quality of the content being returned by the search engine.

Search has stalled over the last 24 months

Intranet Search Best Practices - Adam Wasserman Prescient Digital Media

The search functionality is critical to allowing users to find information quickly and efficiently. However, many organizations do not consider the inner workings of their intranets' search, which results in users' frustration over not being able to find what they are seeking.

One of the most important attributes of an intranet is the ability to contain the organization’s wealth of data needed for daily operation in one single location. However, holding the data in a single place is of no use if the employees who need that data are not able to locate what they require.

Sometimes you don’t have an intranet problem but a search problem - Bertrand Duperrin

There’s a common belief according to which the raise of user generated content will improve information sharing in the workplace. It’s obviously a part of the solution but not the whole one.

In many cases, organizations are not able to find anything on their existing intranet and the expected multiplication of content will even make things worse.

A shared information that can’t be found is not better that no shared information at all. Thinking the social layer of the intranet also means thinking about search that is a strategic tool to browse and is also key to bring content and people closer in a relevant and contextual way.

Successful Intranet Search (Martin White @intranetfocus) #intra11by Samuel @driessen

Search has been a hot topic in the intranet space for a long time. Why can’t I find what I’m looking for inside the company, just like with Google on the Internet. Martin White’s breakout at the Intranet Conference (Congres Intranet) was about this topic and want to help us improve intranet search.

White started out by asking which search engine we used. A long list of search platforms is mentioned, ranging from open source search technology to Sharepoint search. Not many participants have the same engine.

This illustrates one of the points White wanted to make. Search isn’t easy. It not easy on the internet, and it’s hard on the intranet as well. He shows how different the search results are. This is not helpful for users and it makes search unnessissararily complex. This is one of the reasons user go for the easiest route on the internet: just use Google.

Adding Google to SharePoint - Adriaan Bloem

One of the questions I hear time and again is: "We're running SharePoint. Should we get a Google Appliance for search?" This was the case with SharePoint 2007, and it hasn't changed with 2010. The only thing that's different is the answer I commonly hear: nowadays, many would advise to get Microsoft's FAST as an "add-on," instead of going with Google's search boxes.

The thing is, adding Google to SharePoint usually doesn't make a lot of sense. SharePoint's native search capabilities compare pretty well to what Google can do. I've only seen a couple of actual bake-offs between the two, but users don't tend to discover big differences in the quality of the results.

Targeting enterprise search to key tasks - James Robertson

Enterprise search is often deployed as ‘the answer’ for the difficulties of finding information across an entire organisation. The basic concept is that the enterprise search indexes ‘everything’, and findability problems are solved.

In practice, teams given the task of designing and deploying enterprise search find these projects much more complex. Many questions need to be answered:

  • Which information sources should be indexed?
  • How should the results be presented?
  • What functionality should be provided for staff?

To answer these questions, teams need a clear vision of the desired end state, including an understand of staff needs and tasks.

Search Usability - Why Lance Armstrong doesn't ride a Mountain Bike - John Brunswick

Would Lance Armstrong use a mountain bike to race in the Tour De France? Of course not. Why do we try to do the same with search in our enterprise?

When it comes to enterprise search most implementations are fixated on what metadata and what weighting should be applied to documents and other information - without ever stopping to ask “what is driving people to search”?

  • Are people looking for documentation on a particular product or subject?
  • Is the end user attempting to locate details about a support request that they filed?
  • Or is the person looking for a particular discussion on a certain topic?

Information flow part 2: Information and metadata - Kristian Norling

Honestly, metadata is really, really boring. But hey, metadata is extremely useful.

Without good metadata, we can’t really solve the findability problems we have on our intranet. In order to give the right person, the right information, at the right time, at the right place and in the right way, we must use metadata extensively.

Or to be more precise, we must use master metadata. In this post I’ll try to explain how we mandate the use of metadata without making it a barrier for publishing information.

Intranet Architecture – search then social - Nudge

I’m a bit concerned about the ‘buzz’ around the social enterprise at the moment. Whilst I’m a champion of social platforms within organisations and I’m firmly in the camp of more collaborative and social workplace, I’m a little concerned that one of the primary goals of intranet resources is starting to get overlooked: That of Search.

The current thought leaders in the field (Don Tapscott, Charlene Li et al) are right in saying the increased socialization and networking capabiliti...

Information Overload & Improving Intranet Findability - Jeff Carr

Information management agility is about being able to deliver the right information to the right people at the right time. But what if there's just so much information that we are caught in a battle trying to find the things that are relevant to achieve our goals? There is a way to get past this information overload and improve findability.

We’ve been hearing about the problem of information overload for years now. The exponential growth of information within our organizations is deemed as so problematic that it negatively affects employee productivity and ultimately results in increased levels of operational costs as a result of an inability to easily sift through it all.

The Scent of Search - It's all about interaction

The implications of Information Foraging Theory on designing user-centered websites have not gone unnoticed. Jakob Nielsen and Jared Spool, among others, have put forth considered recommendations on how to enhance information scent on the web. Most of their guidelines, however, tend to assume that the designer has direct control over the explicit words used in the interface. While this is certainly the case for browse-based websites dependent on site-wide navigation and hyperlinks, it breaks down for search interfaces where both content and navigation are completely dynamic.

While the principles for amplifying information scent in search-based interfaces are complimentary to those of browse-based models, they are yet distinct from them. Understanding how information scent applies to search first requires an understanding of human search behavior and the factors that affect it.

Creating the Intranet Search Experience - Bas Zurburg

There are many ways to get to content on the intranet: navigation, cross links, tags, via employee profiles and... search.

Most of us use Google to search on the internet and we are quite happy with the returned results. But often we are not so happy with the search in the intranet. Intranet search is still a feature that leaves a lot to be desired in many organisations.

Internet Search vs. Intranet Search

There is also a difference between search on the internet and the intranet. On the intranet you expect certain search results, because you know that the content is published on the intranet. You don't know the same thing on the internet. In other words you won't miss it in the search engine result page. People are more critical with intranet search results.

This article contains some lessons I learned implementing search in an intranet with the Google Search Appliance.

There are four main areas in which the intranet search can be improved:

  • Improve the search interaction
  • Provide a great user interface
  • Write good quality content for the web and improve the quality of the indexed data
  • Monitor and evaluate the search

Intense Findability at the Intersection of Content, Community and Context

Do you ever find yourself wondering why it's easier to find content on the internet than in your own organization? Maybe you need a Findability Strategy. Here's a look at how you can define yours.

Users of commercial tools and sites such as Yahoo, Google and Amazon often ask why such findability functionality does not exist in the corporate world.

Intranet search engine optimisation (SEO) common mistakes - Luke Oatham

We have a "family" of intranets and we use Google Search Appliance for our search engine.  The quality of search results varies widely across the different intranets.

To demonstrate the difference in quality, I tested a one-word search which was the name of a project I wanted to find out about.

Let's call it ProjectX.
