NetJMC / Intranet Strategies Global Organizations / To technology strategists: how to blend enterprise + business + people?

The workplace web has 3 perspectives: - the enterprise, - the business, - the individual person.

When I work with global organizations to help them define the business objectives of the intranet, we do it from these 3 angles.

The problem is when we push each dimension to its logical conclusion, we end up with a technology dilemma. What tool or combination of tools can support all 3 dimensions?

Software solutions tend to favor one dimension more than the others. Each dimension has its own fundamental lo...

The Key to a Successful Intranet Site Evaluation - Toby Ward

When it comes to the web, everyone’s a critic. Most people form a negative or positive opinion of a site in about the same time it takes to click a mouse (according to a Carleton University study).

It’s a skill we’ve developed by visiting countless websites with different objectives in mind, fostered by the accessibility, necessity and diversity of the internet. Referring to the latter enabler, Mitchell Kapor, CEO of Lotus Software, said it best: getting information off the Internet is like taking a drink from a fire hydrant. If websites are the objects of our praise (or in some cases, the sources of our frustration), certainly there is no shortage of material. This is not meant to discredit the importance of evaluating websites, but rather meant as a segue to showing that different approaches, skill-sets, and criteria must be used to evaluate intranets.

Intranets turning into marketplaces - Jane McConnell

How far should organizations go in letting people pick and choose what they want to see and do on the intranet?

A participant in one of my global intranet workshops recently said, “There’s no point in saying we have mandatory global content that everyone must see. It’s not by putting it on the home page that will make them read it. They’re either interested or they aren’t.” The person speaking is in charge of internal communication in a large global company. ....

BT puts return on investment value on social media for employees

It is difficult to measure the return on investment from social media. But Mark Morrell, intranet manager of BT, is prepared to hazard a guess.

"We know anecdotally it has saved a lot of time, and where we have beat competitors to a particular bid because we have been able to get information together quickly," he says. "For every £1 we spend on the intranet we believe we get £20 back."

Enterprise 2.0 - Vision, discipline or toolbox? - Oscar Berg

Is Enterprise 2.0 a vision, discipline or a toolbox? Or maybe the real question is: does it have to be either or?

In this post I will boldly go where no man has gone before and argue that Enterprise 2.0 is all of those things at once – which also explains why it is a powerful and attractive concept.

  • Enterprise 2.0 as a vision
  • Enterprise 2.0 as a discipline
  • Enterprise 2.0 as a toolbox

Using SharePoint for Your Intranet: Focus on Usability

In 2009, half of the winning intranets, as determined by Jakob Nielsen, used SharePoint, specifically the MOSS platform. SharePoint’s notable popularity is particularly interesting considering that from 2003–2006, the Nielsen’s winning intranets didn't use earlier versions of SharePoint at all.

Yet, building a company intranet with SharePoint may limit a design’s flexibility. Because intranet designers may not be building intranets from scratch as much as they used to, their focus has shifted towards improving usability as a way to influence the look and feel.

Intranet, a Shared Responsibility- Bas Zurburg

Owning an intranet is not the same as being responsible for it!

Two examples that can happen with your intranet: The HR department keeps all the employee data up to date for their own records, but they defer the responsibility for the 'People Find' to the owner of the intranet.

The IT department has delivered the intranet, it works fine and the roll out was a success. But after that they keep rolling out there own portals and platforms to the business. They see building the intranet only as an item on their work program.

There are some tasks that belong to the owner of the intranet and of course there must be:

  • a main budget holder
  • a chair of the editorial board
  • a chair of the steering committee
  • a unit to co-ordinate daily tasks
  • a unit dealing with first line support
  • a unit to co-ordinate with the IT department

You have noticed that there is no mention of "content" or "processes" in this list. These are items that can't be the responsibility of one unit alone...

An Enterprise 2.0 Framework for Success by Jacob Morgan

Around a week or so ago I presented online at the social business summit on making Enterprise 2.0 work. It was a relatively short presentation with a lot of information but one of the things I presented was a type of framework or process for how to make Enterprise 2.0 work within an organization.

I’m currently in the process of conducting a large scale E2.0 project but I have been doing some in depth case studies and interviews with companies such as Intuit, Vistaprint, Oce, Florida Hospital, and Booz Allen Hamilton (which will be finalized and live within a few weeks).

What I created is based off of the information I have been collecting from various companies (and a bit of research). Of course it’s not applicable to every organization and I still think there is room for improvement and modification but here is what I have so far:

5 intranet trends for business managers in 2010 - J. Boye

Much industry discussion by vendors and consultants is driven by underlying agendas and it can be quite difficult for the interested business manager to look through the hype and find out what is really good knowing.

Based on conversations with our North American and European communities as well as input from intranet experts like Australian James Robertson, here’s our take on 5 key intranet trends for business managers in 2010:

  • Metrics
  • Mobility
  • Social
  • Task-based
  • Usability

Winning Support for your Intranet/Intranet 2.0 Initiatives -

A common frustration for teams managing intranet projects is the difficulty they experience in securing resources. Successfully winning support could require grasping a number of concepts—from ROI to employee engagement—depending on the business environment. But in all organizations, the intranet team must understand the difference between a need, and a perceived need. The distinction is that a business case can quantify the former, but people act on the latter.

In the case of intranets, many organizations have a need to streamline business processes, drive operational efficiencies, enhance communications and collaboration and secure a higher degree of employee engagement. But the executives at these organizations frequently don’t perceive how an intranet, and especially intranet 2.0 technology, can address these business requirements.

What CEOs really want -- and how IT can provide it

Intimacy, simplicity and creativity.  Not words you would associate with the pressing business desires of a CEO, but these are qualities that they long for, in a big way.

In fact, CEOs that are more adept at instilling these qualities into their organization’s operations are those that are seeing the best results in this crazy world in which we operate. This is the finding of a study released by IBM, summarizing the attitudes and opinions of more than 1,500 decision-makers from across the globe...

  • Customer intimacy
  • Simplicity
  • Creativity

Is the intranet dead? - alexmanchester.com

In a recent presentation, Janus Boye asked the question, is the intranet dead?

Last week I presented at the annual Online Information conference in London in a session titled “Death of the Intranet”. Speaking after me in the same session was senior Forrester analyst Tim Walters and we both agreed that intranets are not dead. However it may be practical in some organisations to avoid the term intranet as it carries too much negative baggage.

I agree with both points here. The 'intranet' isn't dead, in fact things are really only beginning to get interesting right now, with lots of promise in the future.

Finding compelling examples to build the intranet business case - Step Two Designs, Alex Manchester

For many intranet teams, funding and resourcing is incredibly tight. The intranet is often a poor cousin to an organisation’s public website, and its worth to the organisation is rarely demonstrated well.

Intranet teams also rarely have direct lines of communication to senior management who, as infrequent users of the site, have little understanding of its complexity or potential.

As a result, when it comes to getting funding for a new content management system (CMS), or developing and adding new applications and services, making the case is an uphill struggle.

Yet there is great potential in intranets; we only need to look at the winners of the Intranet Innovation Awards to see how useful, powerful and valuable intranets and related services can be.

Read some compelling examples

Identifying staff tasks - Step Two Designs, James Robertson

Intranets are most useful when they help staff do their jobs. This includes finding a key piece of information (‘what is the address for our interstate office?’) or completing a process online (‘I need to apply for some leave over Christmas’).

The best approach for helping staff is to focus on tasks. These are the activities, simple or complex, that staff need to do on the intranet. The goal is to streamline and simplify how these tasks can be carried out.

  • Uncovering staff tasks
  • Documenting tasks
  • Using tasks

Spring Clean Your Intranet

Good intranets provide an invaluable resource to employees. A one-stop location to find everything from policies, guidelines, forms, departmental information, people search, calendar events and company news. But like all good intranets, over time they can get bogged down by the sheer volume of content distributed throughout the site. Sound familiar? It may be time to do a spring clean on your intranet.

A spring clean should renew, reconnect and revive.

Wheat & Chaff: Who owns the Intranet?

My instant response was “The Users own the Intranet !” . While I am sure most Intranet managers would agree that Intranets are there for the benefit of users, what @danasml was asking was who is financially responsible. What part of the business funds the Intranet? Who has the task of taking any proposed redevelopment business case to the board for consideration? What division is responsible for including money in their budget for the operation and development of the Intranet?

In my case over the past five years the Intranet and its management has been in the IT division, the HR division, the Shared Business Services division and currently the Internal Communications division. I’m sure that if the question was asked of all the Intranet Managers out there that the answers would be just as varied.

Organizations are getting serious about intranets -

What do organizations care about right now when it comes to intranets?

The results of this year's 5-minute pre-survey quick poll show that organizations want to know about new ways of working & how intranets will evolve, the social/people dimension, decision-making & governance, and business impact & measurement.

Intranets are clearly gaining strategic territory in organizations.

205 organizations participated in the pre-survey poll, including over half the participants from last year's survey.
