Improving intranet compatibility - Jesse Ruderman

Some organizations are reluctant to keep their browsers up-to-date because they worry that internal websites might not be compatible.

Organization-internal sites can have unusual compatibility constraints. Many have small numbers of users, yet are highly sensitive to downtime. Some were developed with the assumption that the web would always be as static as it was in 2003.

Rapid releases help in some ways: fewer things change at a time; we can deprecate APIs before removing them; and the permanent Aurora and Beta audiences help test each new release consistently.

Most all of us - in the enterprise world or not - update our status, share photos, chat and even Tweet. Maria Ogneva, head of community at Yammer, the enterprise social network used by 100,000 organizations, says that a disconnect between consumer and enterprise software only causes frustrated and inefficient users.

"Employees are also consumers, and when they get to work they expect their software tools to act the way their consumer tools do at home," said Ogneva. "Because social sites and apps have become such a big part of our lives, the wider the disconnect between 'work tools' and 'personal tools,' the more frustrated we become."

Factors that denote significant impact include a high potential for disruption to IT or the business, the need for a major dollar investment, or the risk of being late to adopt.

A strategic technology may be an existing technology that has matured and/or become suitable for a wider range of uses. Integrating applications into the intranet - Catherine Grenfell

The intranet provides many different sources of information and opportunities for staff to do their jobs better. Whether an intranet has a news, content or task and activity focus, it should provide a seamless user experience. Users should not have to know or care whether a given application is truly part of their intranet, as long as it works as if it is.

Some common applications allow staff to:

  • process pay and leave submissions
  • log support calls with IT help desk
  • order uniforms.

Other more complex applications may:

  • calculate superannuation termination payouts
  • stock levels of exhaust pipes in the factory in Brazil.

Applications can be:

  • fully integrated
  • stand-alone
  • provide front ends to back end databases.

While applications are sometimes developed by intranet teams, they are more often developed by other IT teams or external software vendors. Intranet teams may have little influence on how these applications are built.

This article outlines some opportunities to work across the organisation and improve the overall experience for staff.

Corporate Intranets should not be built as advertising spaces

Despite I'm convinced that Enterprise 2.0 is about people and not technology, it does not mean that technology is neutral. The way it's conceived and implemented can either be a catalyst or an inhibitor to new business behaviors people are exepected to adopt in their day-to-day work.

There's no need to go deep inside any large business' intranet to understand what I mean : the landing page is enough. A recent post by Gia Lyons about intranet and social platforms merger reminded me of many discussions I had with many organizations these last months (by the way it seems to be becoming a very trendy topic). Most of them are thinking of reiventing their intranet and the reasonning is always the same :

1°) We want something new

2°) We'll start with the landing page

3°) As every department / branch / part of the company wants its dedicated place on the landing page, the new landing page will look like the old one.

4°) Our reasonning seems to be right even if the conclusion seems to be wrong. What's the problem there ?

Rage against the (email) machine : Headshift

There is no doubt, we have a love-hate relationship with email. As much as we say we would like to ditch this modern millstone, there is plenty of evidence to show that email remains entrenched in the information workplace as a core communication tool.

Worldwide email traffic continues to grow at an enormous rate and is now measured in billions of messages per day. This trend is also reflected inside organisations, where according to Gartner Research it is typically growing at a rate of 30% each year.

However, these numbers only tell one side of the story. Access to corporate email might be common place, but opinion remains divided about its effectiveness. As the volume of email has increased, so have the complaints about information overload, the impact of poor communication and inefficient collaboration practices. In response to these issues, technologists have created more new tools that each promise to solve the email problem better than the last.
