Measuring the value SharePoint 2010 can bring to your organisation « Mark Morrell

You have developed a strategy.  You have built a governance framework.  You got the buy-in from stakeholders.  You factored in the benefits and drawbacks of different approaches.  You have started implementing SharePoint 2010.  So now, how do you to measure the value to show the investment made has been justified?  Easy to say but harder to show! I believe you can measure the value at three levels.  These are: 1. Improved productivitySP2010 can help speed up how quickly a business problem can be solve...

BT Intranet SharePoint 2010 examples « Mark Morrell

I have read a lot about what SharePoint 2010 can do but I have seen few examples of it being used with an intranet.  So, I’m going to change that by showing you examples of how SP2010 is being used on BT’s intranet.  These were shown to Intranet Benchmarking Forum members at the SP2010 Special Interest Group. I have been heavily involved in the strategy, plans and implementation of SP2010 over the past 12 months.  It is the biggest change to BT’s intranet since it’s creation.  It is a ‘work in progress’...

SharePoint 2010 special interest group « Mark Morrell

I recently met with other members of the Intranet Benchmarking Forum who are planning to or implementing SharePoint 2010. My take on the meeting was how many issues we had in common – whether from a technical or business perspective.  The main issues were governance, engagement and cost savings.  There were others raised but these seemed the main ones to me. Governance Well, I realise I am not the only one who is learning as I go on what is the best governance model to use.  And there is still very li...

Intranets Live: Functional designs « Mark Morrell

A few days ago I had the great privilege to co-host the February Intranets Live show with Paul Miller from the Intranet Benchmarking Forum (IBF) and Marc Wright from Simply Communicate. I was invited because BT’s intranet has been benchmarked by IBF in 2007, 2008, 2009 and 2010 for global best practice and its financial value.  And (I hope) because I had some good views to contribute to the discussion too! As usual it was an excellent blend of discussion and live intranet tours.  With Heineken, who won...

Moving to SharePoint 2010? Define your stakeholder strategy « Mark Morrell

For the past few posts I have concentrated on what you need to consider SharePoint 2010 can bring to your organisation from a practitioner’s view.  These have covered how vital it is to have a great SP2010 governance strategy, aligning it with your organisation’s strategy, benefits and drawbacks of focusing on restricting use, encouraging best practice and preventing problems. But you can’t do all of these activities on your own.  You need key people who can help you achieve these.  You need stakeholder...

Aligning your SharePoint 2010 strategy with your business strategy « Mark Morrell

In my recent posts I have covered how vital it is to have a great SharePoint 2010 governance strategy and the benefits and drawbacks of focusing on restricting use, encouraging best practice and preventing problems. However to gain the full benefits from your SP2010 strategy it has to fit with your business’ overall strategy.  This is no different in principle to creating an intranet strategy. You need to be clear, very clear, on your business’ direction now and for the next 2-3 years.  This gives you ...

A SharePoint 2010 strategy to prevent problems « Mark Morrell

In my last two posts I have covered the benefits and drawbacks of SharePoint 2010′ restricting use and encouraging best practice and how this fits with a great governance strategy. I’m will now cover the benefits and drawbacks of preventing problems with SP2010 features. You need to get your strategy right and what it is you want to achieve.  Is it encouraging innovation and keeping governance light touch?  Or is it to prevent the ‘wrong’ behaviour and minimise risk of your brand and reputation being d...

Strategic benefits and drawbacks of SharePoint 2010 « Mark Morrell

In my last post ‘SharePoint 2010 governance strategy in action’ I covered how the strategy for SP2010 governance has to be very different to other publishing or collaborative tools. You need to be clear why your organisation is using SP2010 and the benefits expected.  That will shape how tight or loose your governance needs to be. Once you are clear on this, you then need to consider the strategic benefits and drawbacks for:Restricting useEncouraging best practicePreventing problems I will start with ...

SharePoint 2010 governance strategy in action « Mark Morrell

Based on my recent experience of the past few months implementing many SharePoint 2010 (SP2010) features I wanted to share the knowledge I have gained with others who may about to start what I have done. SP2010 may be “the best sweetie shop in town” for all its range of  features for people to use but the governance raises for intranet professionals a different set of challenges. The strategy for SP2010 governance has to be very different to other publishing or collaborative tools. I believe there are...

5 tips for a great intranet strategy « Mark Morrell

Strategies vary from one organisation to another. What makes sense for BT won’t  necessarily do for others.  Differences that influence this include purpose (online marketing company, charity or public sector) and complexity (global based in different time zones with many activities). Here are 5 tips to help you create a great intranet strategy: 1. Find out what your organisation’s strategy is and how your intranet contributes to it You must know what your organisation’s strategy is.  Your intranet mu...

Start small, build quick, keep it cheap « Mark Morrell

While I was at the Employee Portal Evolution Masters conference I was struck by the number of organisations who were interested in using social media tools but were not sure what approach to take. To justify any investment funding you need to have a strong business case – even more so in these difficult economic times – that clearly shows the benefits to the organisation of adopting social media tools.  That justification has to have good reasons backed up by clear evidence of how it benefits the organi...

Always get the basics right « Mark Morrell

As BT’s intranet has developed over the past 15 years I have seen many different ways of publishing content and various ways of designing and structuring a page to show the content. But there have always been a few key basic principles which don’t change. I’m reminded of these as I review SharePoint 2010′s capabilities with its different terms and ways of publishing and managing different types of content. Here are my basic principles for a successful intranet:Intranet strategy aligned to the organisa...

What SharePoint 2010 terms do you use? « Mark Morrell

I have been finding out more about SharePoint 2010 and how BT could put it to good use improving our intranet.  Someone described SP 2010 as “the best sweetie shop in town” but I feel as the BT Intranet manager that I’m at the front door reminding everyone they still need to eat a healthy diet. Having asked people for their view on SharePoint 2010 and how to make it a success I’m trying to clarity what terms people are finding are best to explain the many features and roles of SP 2010. I realise that ...

Helping new BT Intranet users « Mark Morrell

What help do you give to anyone new to your intranet?  How do they get to know what words used such as ’homepage’ mean?  In BT we have online guidance and training for new users.  This includes a glossary of the most used terms which you may find helpful to use:  Address:  Another name for a location or URL. Bookmark/Favourite:  A way for you to mark a web page you want to return to later, in the same way you would put a bookmark in a book. If you are involved in intranet management for your organisation, join the 5th annual Global Intranet Strategies survey and get a free copy of “Global Intranet Trends for 2011″, published end of October (commercial value 750 USD, 550 euros). So, how good is your intranet? « Mark Morrell

I regularly ask users what they feel about BT’s intranet.  I use a variety of methods to do this. 1. Survey - I ask each year questions to compare with previous years for trends as well as new areas to focus on. 2. Beta testing - I ask for people to test out new features to make sure it meets their needs or improve further so it does before launching. 3. Feedback – every page has a feedback link for anyone to ask for more information or raise a concern. Find out more in Intranet Ideas article ‘Conduc...

An A-Z of BT’s Intranet « Mark Morrell

In my last post ‘Great intranets help make efficient people’ I talked briefly about the BT A-Z.  BT Intranet users find this a very useful service helping them to quickly find a site. Research of people in BT finds they navigate to what they need from the BT Homepage by using the search engine, deep linking from the many headings grouped functionally or use the BT A-Z. People who use the BT A-Z have a reasonable idea they know the site exists and what its name could be.  Cross-referencing of sites help...
