Today, we’ll walk through some additional guidance – not from the playground, but from the consulting field. First, lets start with the "do's" – how to launch an effective intranet.

If you buy it, they will come

Use what’s already out there. The SharePoint ecosystem is full of prebuilt solutions, most of which are free or low cost. For example, Microsoft's open source site, www.codeplex.com is loaded with prebuilt solutions such as security reporting or Silverlight rich media controls. Microsoft itself provides the so-called "Fabulous 40" templates that offer tools like IT Help Desk or HR Benefits self-service registration.

Collaborative software helps you break down the silos

Although most businesses are organized around functional lines (and optimized so that information flows top to down along functional lines), project execution almost always requires cross functional team collaboration. The diagram below illustrates major communication relationships (high-level view of how information flows..not all communication paths are shown) across teams or groups within a software company.  Some variation of this is true for all companies.

As knowledge workers, we exist in an information economy. And just like the manufacturing world, where materials, parts and inventory requirements are optimized for efficiency and minimizing costs, information delivery processes need to be optimized for greater efficiencies.

A couple of years ago I met a manager who had been specifically appointed by the CEO to improve employee morale. I gave him data that showed that his intranet had the lowest employee satisfaction ratings we had found so far. Tasks were really hard to complete.

Corporate Intranets should not be built as advertising spaces

Despite I'm convinced that Enterprise 2.0 is about people and not technology, it does not mean that technology is neutral. The way it's conceived and implemented can either be a catalyst or an inhibitor to new business behaviors people are exepected to adopt in their day-to-day work.

There's no need to go deep inside any large business' intranet to understand what I mean : the landing page is enough. A recent post by Gia Lyons about intranet and social platforms merger reminded me of many discussions I had with many organizations these last months (by the way it seems to be becoming a very trendy topic). Most of them are thinking of reiventing their intranet and the reasonning is always the same :

1°) We want something new

2°) We'll start with the landing page

3°) As every department / branch / part of the company wants its dedicated place on the landing page, the new landing page will look like the old one.

4°) Our reasonning seems to be right even if the conclusion seems to be wrong. What's the problem there ?

Tips for Web Product Management

I am currently providing web product management services for two clients. One client is a start-up launching a new web-based product. The other is a 100 year old newspaper. While at face value these two clients couldn’t appear to be more different, they are actually quite similar.

What follows is a list of principles and practices that I have found to be effective.

  • Establish a regular (2-3 week) release cycle
  • Define and communicate prioritization criteria.
  • Don’t forget the HotFix queue
  • Write good tickets
  • Use your source code control system
  • Automate deployments

My underlying key message is this: Intranets evolve. They are a process, not a project. Therefore you need to plant "governance seeds" throughout the organization. They will grow and develop as the organization evolves. They will help build a new attitude towards the intranet. They will bring more impact than a governance document!
